At SIDS Farm Private Limited (including its subsidiaries or affiliated entities, hereinafter referred to as “SIDS Farm”, “we”, “us” or “our”), we are committed to processing digital personal data in a lawful, fair, transparent and secure manner in accordance with applicable laws, including the Digital Personal Data Protection Act, 2023 (“DPDPA”) and the Information Technology Act, 2000. SIDS Farm is committed to adopting appropriate technical, administrative and organizational safeguards to ensure the security and confidentiality of your personal information.

SIDS Farm operates the Sid's Farm FieldOps Mobile Application (specifically designed for Route Area Supervisors and hereinafter referred to as the “RAS App” as part of the Farmer Management System (“FMS”) to support structured field operations, village surveys, and ticket-based workflow management.

This Privacy Policy describes our policies and procedures on the collection, use, access, correction, storage, and disclosure of personal information in connection with the Services.

For the purposes of applicable data protection laws, including the Digital Personal Data Protection Act, 2023 (“DPDP Act”), DPDPA, SIDS Farm Private Limited is the Data Fiduciary of personal data processed through the Services.

Internal Employees and Farmers are Data Principals in respect of their personal data processed by SIDS Farm. Where SIDS Farm engages vendors or service providers to support the Services (such as cloud hosting, messaging, analytics, or system infrastructure), such entities act as Data Processors and process data strictly under SIDS Farm’s documented instructions and binding contractual obligations.

3. Information We Collect and How We Use It

3.1 Personal Information – Internal Employees

We collect personal information of Internal Employees for authentication, operational execution, and system administration. This may include name, registered mobile number, employee ID, role and designation, reporting manager details, login credentials (mobile number and OTP), and government-issued identifiers where required for verification.

We also collect attendance data including clock-in and clock-out timestamps, location data during active shifts, geo-tagged images, field activity records such as surveys, revisits, service notes, ticket records (from creation to closure), asset usage logs, and related operational metadata.

We use this information to authenticate users, enforce role-based access control, validate attendance, monitor field activities, maintain operational records within FMS, ensure accountability, and support internal reporting and audits, and capture visual evidence of task execution.

Location data is intended to be collected only during active work sessions and not for continuous background tracking outside of authorized working hours.

3.2 Personal Information – Farmers

We collect and process personal information of Farmers through surveys, onboarding processes, and operational records generated by the RAS App within FMS. This may include name, mobile number, village details, land information including geo-location, cattle and dairy information, milk production quantities, and competitor details.

We use this information to create and maintain farmer profiles, manage assignments, track cattle and dairy data, support field services, enable structured operational planning, and maintain accurate operational records within FMS.

5. Sharing of Information

We do not sell personal information.

We may share personal information with service providers who support the Services (including cloud hosting, messaging, analytics, and system infrastructure), auditors or professional advisors under strict confidentiality obligations, and government or statutory authorities where required by law or to protect legal rights and safety.

All third parties are required to process personal data only for authorized purposes, implement equivalent security standards, and in strict accordance with applicable laws.

6. Data Retention

Personal data is retained only for as long as necessary to provide the Services, meet operational requirements, satisfy the purposes for which it was collected, including complying with legal obligations, resolving disputes, and enforcing agreements.

Operational records within FMS, including surveys, revisits, attendance logs, asset records, and assignment data, may be retained for audit, compliance, and historical traceability purposes in accordance with our internal data retention schedules.

Backup copies may be retained for limited durations for business continuity, subject to appropriate safeguards. Upon the expiry of the retention period, personal data will be securely deleted or anonymized.

7. Data Storage and Transfers

Personal data is stored on secure infrastructure used by SIDS Farm and its contracted service providers located within India. Where data is processed or stored outside your jurisdiction, reasonable safeguards are implemented in accordance with applicable data protection laws. Cross-border data transfers, if any, shall only be executed if explicitly permitted by the Central Government and shall comply with all restrictions under applicable law.

8. Security Measures and Misuse

We implement reasonable technical and organizational measures, commensurate with the nature of the data, to protect personal data, including role-based access controls, authentication mechanisms, monitoring systems, and audit logging.

Unauthorized access, misuse, disclosure, or leakage of personal data by Internal Employees or any authorized users is strictly prohibited and constitutes a material breach of employment terms. SIDS Farm reserves the right to suspend access, initiate disciplinary action, terminate access, and pursue civil or criminal legal action against any individual or entity responsible for a data breach or violation of this Privacy Policy.

SIDS Farm may modify this Privacy Policy from time to time to reflect changes in legal, regulatory, or operational requirements. The current version of this Privacy Policy will be made available through the SF Field Force Mobile Application or other official communication channels. Continued use of the Services following such updates constitutes acceptance of the applicable revised Privacy Policy.

12. Governing Law and Jurisdiction

This Privacy Policy shall be governed by and construed in accordance with the laws of India. Any disputes arising out of or relating to this Privacy Policy shall be subject to the exclusive jurisdiction of the competent courts located in Hyderabad, Telangana.
